Job Title:  Administrative Assistant

Expected Work Week: Part-time, Non-Exempt, 10 to 29 Hours Per Week (Will Vary Based on Need)

Reports To:  Administrator

 

Summary:  Responsible to the Church Administrator for specific functions of central administration processes.

 

One-line Job Description: To serve as a steward of CRC by assisting the Church Administrator with the central administration processes, such as human resources, church database management, payroll, accounting, budgeting, financial reporting, and special projects as needed, in order to provide excellent service to the donors and employees.

 

Essential Duties and Responsibilities include the following.  Other duties may be assigned.

  • Act as an ambassador for CRC by positively reflecting the vision, mission, strategy, and values to those inside and outside our walls.

  • Be able to assess and advise attendees and volunteers as to how and where they can take their next steps towards God and within the ministry.

  • Maintains quality service by following organization standards.

  • Maintains employee and donor confidence and protects operations by keeping information confidential.

  • Provides secretarial support as needed by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; and preparing large mailings.

  • Assists with maintaining and updating our church database software as needed.

  • Works with Ministry Leaders, the Church Administrator, and Senior Leadership to move potential applicants through the New Hire Process.

  • Schedules interviews by coordinating appointments.

  • Drafts, revises, and files finalized offer letters.

  • Assists with new hire onboarding activities such as payroll, benefits, keys, mailboxes, and setting up onboarding IT requests.

  • Notifies existing staff members of new hires and resignations.

  • Welcomes new employees to the organization by conducting orientation.

  • Provides payroll information to Church Administrator by assisting with time and attendance records, and assists with payroll as needed.

  • Prepares employment verifications as needed.

  • Assists with gathering information to prepare employee data reports by assembling, preparing, and analyzing data for Church Administrator and applicable legal organizations.

  • Maintains employee information by entering and updating employment and status-change data in the human resources software and adds required documentation to employee files.

  • Assists with the documentation of the employee evaluation process.

  • Assists with termination process when employees resign.

  • Coordinates staff appreciation events and employee farewell parties.

  • Assists with open enrollment requirements for insurance and other benefits.

  • Rotates with the Office Manager and Front Office Staff to Cover the Front Desk as needed.

  • Contributes to team effort by accomplishing related results as needed.

  • Maintains technical knowledge by attending online training sessions and reviewing publications.

  • Other duties as assigned.

  • Education/Experience:

Associate's degree (A. A.) or equivalent from two-year college or technical school with concentration in business administration/management/human resources; or two years of related entry-level experience.

  • Language Ability:

Ability to read and interpret documents and procedure manuals.  Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

  • Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.

  • Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Computer Skills:

To perform this job successfully, an individual should have knowledge of word processing software; spreadsheet software; internet software and database software.  To perform this job successfully, an individual should have knowledge of Microsoft Office Suite and Google.
